Who we are

End of Tenancy LTD is the data controller for everything described on this page. We are registered in England and Wales under company number 14834545, and our registered office is 82 Chaldon Way, Coulsdon, CR5 1DD. This policy covers endoftenancy.com and the bookings we take through it. Our contact details are at the bottom.

What we collect

• What you type into a quote or booking form: your name, email address, phone number, property postcode, the service you want, the size and condition of the property, a preferred date, and anything you write in the notes box.
• What you tell us by phone, email or message when you book, change a booking, or raise a problem.
• Job records: the address we cleaned, what was done, what it cost, and whether it was paid.
• Website usage, but only if you allow analytics cookies: pages viewed, how you arrived, approximate location by town, and device type.

Your IP address is read while a form submission is being processed, purely so that one address cannot flood the form. It sits in the server’s memory for up to 15 minutes and is then dropped. It is never written to a database, never included in the email that reaches us, and never used to work out who you are.

We do not ask for special category data. Please keep medical, financial and similarly sensitive details out of the notes box. We only need what it takes to price the job and do it.

Why we use it, and our lawful basis

• Answering a quote request, confirming a price and arranging the visit. Basis: performance of a contract with you, and steps taken at your request before that contract exists.
• Contacting you about a booking, including access, arrival windows and changes. Basis: performance of a contract.
• Handling a complaint or a re-clean under the guarantee. Basis: performance of a contract.
• Keeping invoices and job records for tax and accounting. Basis: legal obligation.
• Stopping automated abuse of the quote form and keeping the site working. Basis: our legitimate interest in a form that is not overrun by bots, weighed against the very small amount of data involved.
• Seeing which pages people actually use, so we can improve them. Basis: your consent, given in the cookie banner and withdrawable whenever you like.
• Bringing or defending a legal claim, if it ever comes to that. Basis: our legitimate interest in protecting the business.

Who sees it

• Vercel, which hosts this website and runs the quote form endpoint for us.
• Our email provider, which carries the quote notification to our inbox and our replies back to you.
• The cleaning or removals team assigned to your job, who need the address, your name and phone number, and the agreed scope.
• Google, for Google Analytics, and only where you have allowed analytics cookies.
• Our accountant and HMRC, for the records tax law requires us to keep.
• A court, a regulator or the police, where we are legally obliged to hand something over.

We do not sell your data. We do not pass it on so that anyone else can market to you. Nobody receives your details for their own purposes.

Sending data outside the UK

Our hosting and email providers may process data outside the UK. Google Analytics data, where you have allowed it, is processed in the United States among other places. Those transfers rely on the standard contractual clauses approved for UK use, together with the UK International Data Transfer Addendum, which is the safeguard UK GDPR requires. Decline analytics and Google Analytics never loads, so nothing reaches Google at all.

How long we keep it

• A quote request that does not become a booking: 12 months from the last contact, then deleted.
• Bookings, invoices and the correspondence around them: 6 years from the end of the tax year the job falls in. That covers both the records tax law obliges us to keep and the time limit for a contract claim.
• Complaint records: 6 years, for the same reason.
• The IP address used for rate limiting: 15 minutes, in memory only.
• Google Analytics: no longer than 14 months, and never tied to your name or contact details.
• Your cookie choice: held by your own browser until you change it or clear your browsing data. We keep no copy.

Your rights

Under UK GDPR you can ask us to:

• give you a copy of the personal data we hold about you (access);
• correct anything inaccurate or incomplete (rectification);
• delete data we no longer have good reason to keep (erasure);
• pause what we do with it while a question about accuracy or about our grounds is sorted out (restriction);
• hand back the data you gave us in a portable format, or send it on to someone else (portability);
• stop processing that rests on our legitimate interests, and stop any direct marketing (objection);
• withdraw your consent to analytics, which is exactly what the Cookie preferences link in the footer does.

Ask by email, phone or post using the details below. It costs nothing and we answer within one month. If a request is unusually complicated we may need longer, and we will tell you why inside that first month. We may ask you to confirm who you are before we release anything. Withdrawing consent does not undo what was lawfully done beforehand.

Cookies and analytics

The site sets no advertising cookies and runs no marketing pixels. The only optional technology is Google Analytics, and it stays switched off until you allow it in the cookie banner. Change your mind at any time with the Cookie preferences link in the footer. Essential storage, such as remembering that you dismissed the banner, is used only to make the site work and needs no consent.

Complaints

If you are unhappy with the way we have handled your data, tell us first and we will try to put it right. You can also complain to the Information Commissioner’s Office at any time. Changes to this policy

When what we do with data changes, this page changes with it. The date at the top is the last time it did.
